Automations

The fast wins that pay for themselves in the first month.

Rule-based handoffs between the tools you already use. No AI model, no ambiguity, and live within two weeks.

What it looks like

Examples we've shipped in this category.

Inbox and form intake into your CRM

4–6 days

Every inquiry lands in HubSpot or Salesforce with the right owner, stage, and source, without anyone re-typing it.

Invoice, renewal, and follow-up reminders

3–5 days

Reminders that pull the real balance and due date from your books, sent on a schedule you set.

Weekly reporting digests

4–7 days

A Monday summary in Slack or email with the numbers your leads would otherwise pull by hand from four dashboards.

Two-way updates between tools that don't talk

5–9 days

Customers in Shopify match customers in QuickBooks. Deals in the CRM match projects in Asana. Always.

Document generation

5–8 days

Proposals, statements of work, and onboarding packets filled from a form or a CRM record and sent for e-signature.

Employee and client onboarding checklists

4–7 days

Accounts created, calendar invites sent, and tasks assigned the moment someone signs.

How we build it

The same discipline every time.

  1. 01

Map the process as it runs today

A 45-minute call where you walk us through the real steps, the exceptions, and where it breaks. We write it down. You correct it.

  2. 02

Choose the smallest tool that works

We use n8n, Make, or Zapier for most cases. We write a small custom program when volume or reliability demands it. You pay for nothing you don't need.

  3. 03

Build in your accounts with test data

We create everything inside workspaces you own. We use test records until the last day, then switch to real ones.

  4. 04

    Monitor and hand off

Error alerts route to a channel you choose. You get a runbook, a recorded walkthrough, and 30 days of fixes.

What you receive

Deliverables

  • The automation, live in your own tool accounts
  • A one-page runbook: what it does, how to pause it, what to check when it alerts
  • Error alerting to Slack or email, with retries where the tool supports them
  • A recorded walkthrough for whoever runs it day to day
  • 30 days of fixes and adjustments after launch
  • A written estimate of monthly tool cost, usually under $50

FAQ

Questions we get about automations.

Do we need to buy new software?
Usually not. Most automations run on a tool you already pay for, or on n8n, which is free to host yourself and cheap to run in the cloud. If something new is needed, the scope says so before you commit.
What happens when the automation fails?
It alerts a channel you choose with the record that failed and why. Most failures are a changed field name or an expired login. The runbook covers both. We fix failures during your 30-day support window, and for as long as you stay on a retainer.
Can our own team change it later?
Yes. We build in visual tools where possible, so a non-engineer can follow the flow. We name every step in plain language. The walkthrough recording shows where to make common changes.
How fixed is the fixed price?
Completely, for the scope we both signed. If you add a requirement mid-build, we tell you the cost first and you decide.

Tell us what your team still does by hand.

One paragraph is enough. We reply within a business day with questions or a time for a 45-minute call.
