Complex workflows

One whole process, fully off a person's plate.

Processes that span many steps and tools, with approvals, exceptions, and data that needs cleaning first. Built to be boring: reliable, easy to monitor, and documented.

What it looks like

Examples we've shipped in this category.

Document processing that pulls out the data

3–4 weeks

Emailed quotes, invoices, and forms are read by text recognition and an AI model, checked against your rules, and filed as structured records.

Order-to-cash with approval gates

4–6 weeks

Orders are checked against credit, inventory, and pricing rules. Anything unusual pauses for a person. Everything else flows.

Data feeds into a data warehouse

3–5 weeks

Nightly loads from your tools into Postgres, Snowflake, or BigQuery, with format checks and alerts when a source changes.

Customer onboarding across teams

4–6 weeks

Sales closes, and the next 40 steps across ops, finance, and support happen in order, with owners and due dates.

Procurement and vendor intake

3–5 weeks

Requests routed by amount and category, approvals recorded, purchase orders created, and the vendor onboarded in the same flow.

Month-end close checklists

3–4 weeks

Reconciliations kicked off automatically, exceptions surfaced, and the close tracked in one place.

How we build it

The same discipline every time.

  1. 01

    Discovery and process mapping

Two or three working sessions with the people who run the process. We draw a map showing who does what, with every branch and exception. You sign off on it.

  2. 02

Fixed scope and a tool choice

A one-page scope naming the tool that coordinates the steps, where data is stored, where approvals appear, and how we monitor it. Fixed price, fixed timeline.

  3. 03

    Build in weekly sprints

Working software every Friday, run against your real data in a test setup. You test, we adjust, and the scope stays put.

  4. 04

Run alongside the old process, then switch

The workflow runs alongside the manual process for a week. When the numbers match, we switch and the old way stops.

FAQ

Questions we get about complex workflows.

How do you handle the exceptions?
We design for them first. Every branch in the process map has an owner and a place where it shows up: a Slack thread, an email, or a queue in a small web app. The normal path is the easy part.
What if our data is messy?
It always is. Part of the build is a check that catches bad records before they move. A report shows what it caught, so you can fix the source over time.
Where does it run?
In your cloud account, or on servers we set up in your name. We hold no keys and no data. If we disappeared tomorrow, everything would keep running.
Can we start with part of the process?
Yes, and we recommend it. Most complex workflows ship as two or three sprints, each one a working piece of the whole.

Tell us what your team still does by hand.

One paragraph is enough. We reply within a business day with questions or a time for a 45-minute call.
